FOTO Mips Expansion Coming September 2024

Disclaimer: This functionality is not yet in place but, is scheduled for September of 2024.  However, this is subject to change and is not a gurantee of this functionality at that time.

Getting Started

We are expanding our integration with FOTO to allow for Registry based reporting.  There are a few changes with how Heno will be utilized when setting up this configuration.

  • Additional setup will be neeeded (Details to follow)
  • Patients will be sent a link from Heno to an Outcome in Foto versus using Heno's outcomes
    • This can be set at the Insurance plan level so that you can utlize Heno's outcomes for other patients
  • Tracking/Reporting on the outcomes will be maintained in Foto
  • This article is assuming you have already completed the steps in Getting Started with Mips/FOTO

Navigation

  • We have added a "Foto" link to the top right navigation screen for easier accessibility
    • Userid must be mapped without errors
    • FOTO must be turned on
    • Same functionality as existing link under the Patients Action Menu

Set the FOTO Clinic ID in Heno

  1. Add your  "Clinic ID" from your FOTO account
  2. To retrieve from FOTO please do the following:
    1. Login as FOTO Admin
    2. Go to Clinics -> Click the link under "Alias" for the clinic your using with Heno
    3. Copy the "Clinic ID" value which should be a 4-5 digit code
  3. Once you have the code an Admin can update it in Heno as follows
    1. Go to Admin -> Practice -> Foto
    2. Paste the value into the "Clinic ID" field
    3. Once you logout/login this message should then disapear
  4. Please allow 24 hours for the additional FOTO data to replicate into Heno before enabling the insurance plans below.  When done the data will show under Patient -> Chart -> Edit a Chart -> FOTO.  Please ensure the fields on this page are populated.  If the data is still blank after 24 hours double check you set the correct value for the clinic FOTO Clinic ID and the "Enable" box is checked as well as an "Integration Key" is present.  If all that appears correct then, log a ticket with Heno Support with a screenshot showing the FOTO ID settings from FOTO.

Choose Insurance Plan(s) for FOTO Reporting

  1. Under Admin -> Practice -> FOTO click the "Choose Plans" button
    1. This will allow you to bulk select the insurance plans for FOTO reporting.  You also have the option of updating them under the insurance comapany -> Insurance Plans area individually but, this was added to make it easier
    2. As you choose the plans (Typically Medicare) there is also a toggle called "Exclude Outcome from Send Intake" .  If this option is selected and the patient has a primary insurance plan that you've designated here then, the option to send Heno Outcomes will be disabled and a notification will appear under the Patients -> Actions -> "Send Intake" link. 

Episode Creation

  1. Episodies are created under Patient -> Chart -> FOTO
  2. Clinician - This is a list of clinicians defined in FOTO and mapped into Heno. 
    • This should happen automatically after the first replication run from FOTO completes.
    • Requires that there is an Actively licensed provider in HENO
    • NPIs in Heno/FOTO match
    • This can be manually set as well under Admin -> Users -> Edit User -> "FOTO Clinician"
      • Remember - This populates from FOTO on a nightly basisis
  3. The following fields replicate from FOTO, users should choose the appropriate values for their patient
    • Care Type
    • Body Part (If applicable)
    • Impairment
    • Payer Source
    • Surgery Type (If applicable)
    • Surgery Date (If applicable)
  4. The following are auto selected in FOTO based on the Condition.  To configure these login to FOTO as the Admin and go to Company Details -> Patient Survey (Note: The "Changeable by Staff" option does not currently have any affect in Heno).
    • Primary Measures
    • Secondary Measures
  5. FOTO Referring Provider - This will be pulled automatically from a linked case or patient demographics
    • Under the Patients Case menu you can set a Default Chart, if this Chart is linked in and a referring provider is set in that case we will pull that referring provider
    • If there are multiple active cases linked to the same chart an error will be presented and one of the charts will need to be unlinked
    • If there is not a linked Case we will pull the referring provider from the Patients Demographics
    • If none of the above is true it will be indicated on the screen and you'll be unable to create the Episode until a Referring provider is available
  6. Once all of the above is in place click "Apply Changes" to save
  7. When ready click the "Create Episode" button
    • Heno will validate the values are correct
    • We will then attempt to send to FOTO, if there are errors when creating the case they will show in a pop-up
  8. Once the Episode is created the following will happen
    • All FOTO chart fields will be set to Ready Only and further changes will need to be made and remain in FOTO
    • The FOTO Episode ID will display in Heno and the "Create Episode" button will be removed
  9. Click the "Email Survey" button to send the survey to the patient
    • This will bring up a screen with Pre-Set information to send the patient a link to their Outcome in FOTO
    • The email address defaults to what the patient has in their demographics area and can be changed
    • The FOTO link does not expire
  10. Once completed the outcome will be available in FOTO.  Per FOTO best practice is the outcomes remain in their system and linked into from Heno.  However, we are exploring option to pull the data back into Heno but, as of 9/7/2024 that is a work in progress.
